Women in Digital Award Terms and Conditions

General

1. The Awards are hosted by Women in Digital Pty Ltd (ABN 42 663 871 127).
2. Information on how to enter and prizes form part of the entry form. Entry into the awards program is deemed acceptance of these terms and conditions.
3. If there is any inconsistency between these Terms and Conditions and anything else that refers to this awards program, these Terms and Conditions will prevail.

Who can enter

4. Entry is open to all Australian Residents over the age of 18.
5. Entrants must be 18 years of age or older as at the date of entry in order to be eligible to enter the awards program.
6. Women in Digital reserves the right to request winners to provide proof of identity, proof of residency at the nominated prize delivery address and/or proof of entry validity or proof of registration ownership in order to claim a prize. Proof of identification, residency and entry considered suitable for verification is at the discretion of Women in Digital. In the event that a winner cannot provide suitable proof, the winner will forfeit the prize in whole and no substitute will be offered.

When to enter

7. The time of entry will in each case be the time the online entry is received by the Women in Digital database, not at the time of transmission by the entrant.
8. Women in Digital accepts no responsibility for any late, lost or misdirected entries due to technical disruptions, network congestion or for any other reason.
9. Key dates for the awards program, including opening and closing dates for entries, judging periods, finalist announcements, and the awards event, will be published on the Women in Digital website.
10.Women in Digital reserves the right to extend or amend these dates at its discretion.
11.  Entrants are responsible for monitoring updates and ensuring submissions are completed within the specified timeframes.

How to enter

12.  Entrants may enter the awards program by completing the awards program entry form found on the WiD awards portal.
13.  Entrants are required to take full responsibility for the content of their entry and for ensuring that their entry complies with these Terms and Conditions. For the purposes of these content requirements, “entry content” includes any content (including text or images) that entrants submit in connection with their entry into the Award Program.
14. Women in Digital reserves the right to disqualify any entrant who tampers with the entry process, who submits an entry that is not in accordance with these Terms & Conditions of Entry or who has, in the opinion of Women in Digital, engaged in conduct in entering the Award Programwhich is fraudulent, misleading, deceptive or generally damaging to the goodwill or reputation of Women in Digital.
15.  Entrants must ensure they enter the most appropriate category based on the eligibility criteria outlined for each award.
16.  Women in Digital reserves the right to reassign entries to a different category if it considers this more appropriate.
17. The same entry content may not be submitted across multiple categories unless it is clearly tailored and relevant to each category.
18. Where an entry is submitted on behalf of another individual, the entrant must have obtained the nominee’s consent prior to submission.
19. All information provided in an entry must be true, accurate, and able to be substantiated upon request. Women in Digital reserves the right to request supporting evidence at any stage of the awards process.

Judging Criteria

20. Entries will be assessed by a panel of judges appointed by Women in Digital.
21.  Each entry will be evaluated based on criteria relevant to the award category, which may include (but is not limited to) demonstrated impact, innovation, leadership, measurable outcomes, and contribution to industry or community.
22. The weighting of criteria may vary between categories at the discretion of Women in Digital.
23. Women in Digital reserves the right not to award a winner in a category if, in its opinion, no entry meets the required standard.
24. All judging decisions are final, and no correspondence will be entered into.

Number of Entries Permitted

25. Only one entry per entrant will be permitted for each awards category, unless otherwise stipulated.

Notification of Winner

26. Women in Digital’s decision is final and will not enter into correspondence regarding the awards program result.
27. The winner will be notified by phone or email and will be announced at the Women in Digital Awards Gala.
28. Should an entrant’s contact details change during the promotional period, it is the entrant’s responsibility to notify Women in Digital.

Winners Announcement

29. Award category winners will be announced at the Gala Awards. It’s encouraged that entrants are required to be available to attend the event in person, but it is not mandatory. Attendance does not impact eligibility. The winner (and their companion/s) is/are responsible for expenses related to attending the event.
30. Winners will receive a Women in Digital Awards trophy for their category. The prize cannot be transferred, exchanged or redeemed for cash.
31.  It is a condition of accepting the prize that the winner will be available to engage in post event marketing and promotional activities.

Conflict of Interest

32. Judges are required to declare any actual, potential, or perceived conflicts of interest prior to participating in the judging process.
33. Where a conflict of interest exists, the judge will abstain from reviewing or scoring the relevant entry.
34. Employees, contractors, and immediate family members of Women in Digital, as well as judging panel members, may be deemed ineligible to enter certain categories at the discretion of Women in Digital.
35.  Women in Digital reserves the right to take any action it considers appropriate to ensure the integrity and fairness of the awards program.

Reputation & Conduct Clause

36.  All entrants, finalists, and winners are expected to uphold standards of integrity, professionalism, and conduct that align with the values of Women in Digital.
37.  Women in Digital reserves the right to disqualify an entrant, finalist, or winner, or to revoke an award, where it becomes aware of any conduct that may bring the awards program or Women in Digital into disrepute.
38.  This includes, but is not limited to, unlawful behaviour, unethical conduct, or actions inconsistent with the spirit of the awards.
39. This clause applies both during the awards program and after an award has been granted.

Further Terms and Conditions

40. Subject to complying with all relevant State and Territory legislation, Women in Digital reserves the right to amend, cancel or suspend this awards program.
41. Women in Digital assumes no responsibility for any error, omission, interruption, deletion, defect, delay in operation or transmission, communications line failure, theft or destruction or unauthorised access to, or alteration of entries, and reserves the right to take any action that may be available.
42. Women in Digital reserves the right to rejudge the category if a finalist or winner is unable to satisfy these terms and conditions, provide adequate photo ID or is unable to claim the prize.

Copyright, Statutory Guarantees, Waiver and Liability

43.  In consideration for Women in Digital awarding the prize to the winner, the winner hereby permits the winner’s submission, image and/or voice, as recorded, photographed or filmed during the winner’s participation in the prize, or in subsequent advertising or marketing activities. The winner will not be entitled to any fee for such use.
44.  In the case of the intervention of any outside act, agent or event which prevents or significantly hinders Women in Digital’s ability to proceed with the awards program on the dates and in the manner described in these terms and conditions, including but not limited to vandalism, power failures, tempests, natural disasters, acts of God, civil unrest, strike, war, act of terrorism, Women in Digital may in its absolute discretion cancel the awards program and recommence it from the start on the same conditions, subject to any directions given under State Regulation.
45. Women in Digital does not exclude any rights and remedies in respect of goods or services under the Australian Consumer Law in the awards program and Consumer Act (2010) (Australian Consumer Law) which cannot be excluded, restricted or modified. However, the remainder of this clause will apply to the fullest extent permitted by law. Women in Digital shall not be liable for any loss or damage whatsoever which is suffered (including but not limited to indirect or consequential loss) or for any personal injury suffered or sustained in connection with the prize except for any liability which cannot be excluded by law. Women in Digital is not responsible for any incorrect or inaccurate information, either caused by entrant or for any of the equipment or programming associated with or utilised in this awards program, or for any technical error, or any combination thereof that may occur in the course of the administration of this awards program.
46.  Women in Digital reserves the right in its sole discretion to disqualify any individual who it has reason to believe has breached any of these conditions, or engaged in any unlawful or other improper misconduct calculated to jeopardise the fair and proper conduct of the Award Program. Women in Digital’s legal rights to recover damages or other compensation from such an offender are reserved.
47.  All entries become the property of Women in Digital. All entries will be entered into a database and may be used for future promotional, marketing and publicity purposes associated with Women in Digital. By entering this awards program, entrants confirm that they allow their details to be used for this purpose. If entrants no longer consent to their details being used for future marketing purposes, the entrant should unsubscribe from marketing communications.
48. Women in Digital collects information about you, including for example your name and email address which you provide when entering the awards program. We collect and use that information to provide you with our goods and services and to promote and improve our goods and services. We may share your information with our related companies and any of us may be in contact for those purposes. We may also use your information as described when we collect information from you. If you do not provide us with requested information, we may not be able to provide you with the goods and services you require. We may disclose your information to our related companies, service and content providers. To request access to, or to update, personal information we hold about you, entrants can contact Women in Digital at awards@womenindigital.org

Payment and Entry Fee

49. A nomination fee of $199 AUD (inclusive of GST) is required for each award category entered. Payment must be made via credit card through Stripe at the time of nomination. Entry is not complete until payment is received.
50. Members of Women in Digital are entitled to free award entries. To access this benefit, entrants must be confirmed members at the time of nominations closing.
51.  Upon successful payment, entrants will receive an official receipt via email.
52. The nomination fee is non-refundable, regardless of withdrawal, disqualification, or other circumstances. If you encounter issues with payment, please contact the Women in Digital team at awards@womenindigital.org as soon as possible.

Data Collection and Privacy

53. By entering the awards program, entrants consent to the collection, use, and disclosure of their personal information by Women in Digital for the purposes of administering the awards, marketing, and related promotional activities.
54. Personal information, including name, contact details, and nomination content, will be stored securely in Australia for up to 10 years, unless earlier removal is requested in writing. Entrants may request deletion of their data at any time by contacting awards@womenindigital.org.
55. Contact information submitted through the nomination form will be stored in HubSpot, and payment information will be processed and stored securely through Stripe.
56. Nomination data, including personal and entry content, may be shared with judges and sponsors for the purpose of assessing entries and facilitating sponsorship obligations.
